Privacy Policy

How Cortexa collects, uses, and looks after your personal information when you use our platform and courses.

Last updated: June 2025

1. Who We Are

Cortexa is an online school for AI development, operated from 316 Charoen Krung Road, Bang Kho Laem, Bangkok 10120, Thailand. We offer structured learning tracks in machine learning, applied model building, and mentorship-based capstone work. This policy explains how we handle the personal data of learners, visitors, and anyone who contacts us through our website at cortexak.cyou.

2. Data We Collect

Depending on how you interact with our platform, we may collect the following types of information:

  • Contact information — name, email address, and phone number when you submit an enquiry or register interest in a course.
  • Learning activity — progress through course modules, exercise submissions, and participation in study groups, used solely to support your learning.
  • Technical data — browser type, device category, and pages visited, collected automatically via cookies and analytics tools.
  • Communications — messages and replies exchanged through our contact form or email, retained to help us respond accurately.

We do not ask for financial details, government identification, or health-related data.

3. How We Use Your Data

We use personal data only where we have a clear, fair reason to do so:

  • Responding to your enquiries and providing course access you have requested.
  • Sending course-related updates, progress notes, or schedule reminders — with your knowledge.
  • Improving our curriculum and platform by reviewing aggregate, anonymised usage patterns.
  • Meeting applicable legal obligations, including record-keeping where required by Thai law.

We do not use your data for automated profiling, behaviour-based advertising, or any purpose not described here.

4. Cookies and Analytics

We use a small number of cookies to keep the site working correctly and to understand how visitors navigate our pages. These include session cookies (which expire when you close your browser) and analytics cookies (which help us measure reach and improve content). You can review and adjust your cookie preferences at any time through our Cookie Policy page.

5. Sharing Your Data

Cortexa does not sell personal data. We share it only in limited, specific circumstances:

  • Service providers — such as email delivery or analytics platforms, bound by data processing agreements and permitted to use data only on our behalf.
  • Legal requirements — if we are required by law or a valid legal process to disclose information, we will do so and, where permitted, inform you.
  • Mentors and instructors — limited course activity data may be visible to your assigned mentor so they can provide meaningful feedback on your work.

6. Data Retention

We keep contact enquiry data for up to 12 months after the last interaction, unless you ask us to remove it sooner. Course records for enrolled learners are retained for up to 3 years to support completion verification. Technical and analytics data is stored in aggregate and anonymised form, and does not identify individual users after 14 months.

7. Your Rights

You have the right to:

  • Request a copy of the personal data we hold about you.
  • Ask us to correct information that is inaccurate or out of date.
  • Request that we delete your data, where we are not required by law to retain it.
  • Withdraw consent for communications at any time by contacting us directly.

To exercise any of these rights, write to us at [email protected] or call +66 2 815 3946. We aim to respond within 15 working days.

8. Security

We take reasonable technical and organisational steps to protect personal data from unauthorised access, loss, or disclosure. Access to learner records is restricted to staff and mentors with a direct need. While no internet transmission is entirely without risk, we review and update our security practices regularly.

9. Third-Party Links

Our site may include links to external resources — such as documentation, tools, or research papers — relevant to course content. We are not responsible for the privacy practices of those sites, and we encourage you to read their policies before sharing any personal information with them.

10. Changes to This Policy

We may update this policy from time to time to reflect changes in our practices or applicable law. When we do, we revise the date at the top of this page. Significant changes that affect learner data will also be communicated by email to enrolled students.
